The welcome hero
The banner greets you by first name and shows your local time and date, refreshed every 30 seconds. Administrators can replace the background with a solid colour or an image (see Templates & Administration).
Searching from Home
The white card overlapping the banner is the search entry point.
- Start typing — a type-ahead list of matching documents appears immediately, each showing its document number, department and status.
- Select the filter icon to the left to narrow by Department, Document type, Status or Classification. Selected values appear as counted chips and the badge on the icon shows how many filters are active.
- Press Enter, select the arrow button, or select Show results to open the full Search screen with your query and filters carried across.
- The Copilot AI Search toggle decides how the Search screen will answer: on for a grounded natural-language answer, off for a conventional full-text search.

Capture: The Copilot search card with the filter mega-dropdown expanded, at least three facet chips selected across two groups so the counted badge and the "N documents match" footer are both visible.
Suggested callouts: (1) Search box (2) Filter icon with active-count badge (3) Facet chips with counts (4) Clear all (5) Show results button (6) Copilot AI Search toggle
Recommended size: 1600 × 900 px

My Work
Three counters summarise your workload — Pending approvals, Overdue reviews and Expiring soon — and each opens My Workspace. Below them:
- Needs your attention — the three most urgent items, each tagged with why it is listed (rejected, expired, expiring soon, or awaiting your review) and an action label of Revise, Renew or Review.
- Continue where you left off — the four most recently modified documents.
Department Libraries, Recently Updated, Top Contributors
The department cards show a live document count and open the Library already filtered to that department. Recently Updated shows the four newest documents as cards. Top Contributors ranks the five people who own the most documents.
My Workspace
My Workspace is your personal queue. Four tabs sit inside the blue hero, each with a live count.
| Tab | What it contains | Action shown |
|---|---|---|
| Needs attention | Anything pending approval, rejected, expired, or expiring within 30 days | Revise / Renew / Review |
| Assigned / Checked out to me | Documents waiting at either approval stage | Review |
| My drafts | Documents still in Draft | Edit |
| Recently viewed | The ten most recently modified documents | Open |
Selecting any row opens that document's detail page. Overdue items show the number of days overdue in red.
📸 Screenshot: My Workspace — Needs attention tab
Capture: The full My Workspace screen with the Needs attention tab active and at least four rows visible, including one red overdue row and one amber expiring row.
Suggested callouts: (1) Four tabs with counts (2) Status pill on each row (3) Days-overdue column (4) Action button
Recommended size: 1600 × 1100 px
